How to move from an interested lead to a booked meeting

A clear handoff between conversation, availability and confirmation.

A positive conversation is not the same as a confirmed appointment. Booking should be treated as a sequence of distinct steps, each of which needs to be completed.

Identify a clear reason to meet

First understand what the prospect needs. A meeting is more useful when the attendee knows what they want to discuss and why your team may be a fit.

Check availability in the right time zone

Ask which time zone the customer wants to use. Present only available slots provided by the scheduling service and let the recipient choose.

Collect the information required for confirmation

Confirm the person’s name and the email address where the scheduling service should send details. Any optional information should be collected only when helpful.

Wait for a successful booking response

Do not describe a meeting as confirmed until the scheduling service has created it. If a slot is no longer available, offer another option. After a successful booking, make the confirmation easy to find.
